What is a UAN Number? How to Get & Activate It

What is a UAN Number How to Get & Activate It

You join a new company, submit a bunch of documents, sign a few forms, and get on with your work. Months later, when you try to check your PF balance or switch jobs, someone asks, ” What is your UAN number?”

And that’s usually when the questions start. “Do I already have one?” “Is it the same as my PF number?” “Where do I find it?” “What happens if I’ve worked for more than one employer?”

Most employees don’t think much about these things when they start a job. After all, PF deductions happen automatically every month. But when it’s time to transfer your PF, withdraw funds, or check your savings, not knowing your UAN can quickly become a headache.

And that’s why it’s important to know what a UAN number is. It functions as a single link between your PF accounts and makes it easier to handle, even if you move jobs many times throughout your career.

In this blog, we will cover what UAN is, its importance, how to get it, how to activate it and its significance in managing your EPF account.

What is a UAN Number

What is a UAN Number?

Let’s learn the essentials before understanding how it works.

UAN Full Form

UAN is a Universal Account Number. It is a unique 12 digit number provided to the employees registered with the Employees’ Provident Fund Organisation (EPFO) under the EPF system.

Meaning of UAN

Your UAN is a unique identity for your EPF account. Whenever you join a company  that meets the PF registration eligibility criteria under EPF, a PF account is opened in your name. The EPFO settled 8.31 crore claims in FY 2025-26 against 6.01 crore in FY 2024-25, and 71.11% of them were settled by automated methods compared to 59.19% a year ago. Employees earlier had several PF accounts after changing jobs and it was difficult to track contributions across accounts.

The UAN was introduced in October 2014 to solve this problem. Your UAN number remains the same throughout your working life. Even if you switch employers several times, the same UAN continues to be used.

Why Was UAN Introduced?

Earlier, managing a PF account was a tough chore till UAN came into the picture. For ease, the Universal Account Number was introduced. It is useful to:

  • Combine several PF accounts into one identity.
  • Increase transparency.
  • Less paperwork.
  • Make PF services available online.
  • Ease handling of employee EPF accounts.

How Does a UAN Number Work?

Many employees assume that a UAN and a PF account are the same thing. They are not. Here’s a simple way to understand it.

You have one UAN. Under that UAN, you can have multiple PF member accounts linked to different employers.

Let’s say you worked at three companies during your career.

  • Company A creates PF Account 1.
  • Company B creates PF Account 2.
  • Company C creates PF Account 3.

All three accounts can be connected to the same UAN. In simple terms, one employee should have one UAN, but can have multiple member ID UAN records linked to it.

Managing PF and UAN compliance doesn't have to be complicated.

Who Issues the UAN Number?

EPFO UAN System is maintained by the Employees’ Provident Fund Organization. The first step is normally taken by the employer while joining a company under EPF. The Employees’ Provident Fund Organisation (EPFO) added a record 21.89 lakh net members in June 2025, registering a 9.14% growth, the largest addition since the beginning of the collection of payroll data in April 2018.

  • If this is your first employment, you might be able to create a new UAN.
  • If you have a UAN from your former job, then your new company will link your new PF account with your old UAN.

This avoids duplication of information and all PF contributions are linked to one person. Businesses that have recently completed their company registration process must also ensure timely EPF compliance and employee onboarding requirements.

Why is a UAN Number Important?

At a glance, a UAN looks like just another number. In fact, it makes maintaining your PF account a lot easier.

Easy PF Account Management

With an active UAN, you can access several EPFO services online without visiting an office.

Tracks Multiple PF Accounts Under One UAN

Today, changing jobs is common. With a UAN, you don’t have to manually manage your various PF accounts. Your UAN links all your PF accounts under a single profile.

Online PF Transfer and Withdrawal

Having a current UAN makes PF transfers and withdrawals more easier. This is especially beneficial when you change jobs or withdraw amounts.

UAN Passbook Login

With the UAN passbook, you may check your PF contributions and balance. Employee and employer PF contributions are shown together with interest credits.

KYC Verification & Updates

Your UAN account may be used to link and manage all your Aadhaar, PAN, bank details and other information.

What Information Is Stored Under Your UAN?

Your UAN acts as a central record for various details linked to your EPF account.

These may include:

  • Employee name.
  • Date of birth.
  • Mobile number.
  • Email address.
  • Aadhaar details.
  • PAN details.
  • Bank account information.
  • Employment history.
  • PF member IDs.

How to Get a UAN Number?

One of the most common questions employees ask is How to get a UAN number. In most situations, your employer handles the process automatically.

Through Your Employer

If you are joining an EPF-covered organisation for the first time, your employer will generally generate a UAN or arrange the creation of your UAN after completing the necessary PF registration online formalities under EPFO regulations.

Through Salary Slip

Many employers mention the UAN on salary slips. Checking your latest payslip is often the quickest way to find it.

Through the UAN Member Portal

If you have forgotten your UAN, the EPFO Member Portal provides facilities to retrieve it online.

Using Aadhaar, PAN, or Mobile Number

Employees may often find their UAN data using their registered credentials and OTP verification. That way, it is easier to recover when you no longer have the old records.

How to Find Your UAN Number Online?

You can get your UAN registration done through EPFO’s online services if you can’t find it. The technique is really basic.

  • Go to the EPFO UAN portal and click on the option “Know Your UAN”.
  • Fill in the necessary information, authenticate your identity using OTP authentication and follow the steps given.

UAN Activation in 2026: What You Need to Know

EPFO made a big adjustment on August 1, 2025, which has stopped the previous way of creating and activating UAN numbers. The next generation of UANs should have Aadhar-based Face Authentication Technology (FAT) now available only through the UMANG app.

This technique is in line with the EPFO’s instruction of 30th July 2025 to make UAN creation safe and error-free.

  • The old method (entering UAN on the EPFO portal + OTP) is discontinued for the new UAN generation.
  • The new method requires Aadhaar-based face authentication on the UMANG App.

New Method of Activating UAN (UMANG)

  • Download the UMANG App from Google Play or App Store to.
  • Type EPFO in the app.
  • Navigate to EPFO Settings and choose UAN Allotment and Activation
  • Complete the Aadhaar-based Full Face Authentication.
  • Your personal details are auto-fetched straight from the Aadhaar database
  • Create your UAN login details and check your UAN status.

Expert Insight: The move to face identification on UMANG is a big compliance shift that many new joiners and even HR departments are unaware of. If you have joined a firm after August 2025 and have not done the UMANG-based activation, then your PF account is basically not available online.

Documents Required for UAN Activation

Activation is simple, but having the right paperwork on hand might save you time. You may normally require:

Primary identifier

Aadhaar Card

Identity + face authentication

PAN Card

KYC linkage

Registered Mobile Number

OTP verification

Employee details

Must match EPF records

Why Should Every Employee Activate Their UAN Immediately After Joining a New Job?

Many employees do not activate UAN, thinking they do not need it immediately. That can be a problem down the line.

  • An active UAN makes sure that your PF contributions are linked to your account correctly from the very beginning.
  • It also provides you with the facility to access online services, track contributions, examine your passbook, and change KYC details as and when required.
  • Most important is early activation of your UAN will reduce the chances of any issues in PF transfer, withdrawal or claim processing.

How to Link Aadhaar with UAN?

The other important step is to link UAN with Aadhar/PAN. It helps EPFO to authenticate your identification and makes many services run much more easily.

  • Log in to your UAN account on the EPFO Member Portal and then:
  • Navigate to the Know Your Customer (KYC) section and verify the Aadhaar data.
  • The benefits of Aadhaar integration are speedier claim settlements, easy verification, and less paperwork.

What Is the E-PRAAPTI Portal for Dormant PF Accounts?

EPFO is launching a new website, E-PRAAPTI, which stands for Employee Provident Fund Aadhaar-based Access Portal for Tracking Inoperative Accounts. This website will help the members to track their inactive PF accounts and get them activated.

An inactive PF account is one where no fresh contribution is made for 36 months after leaving a job or if the PF record of the prior employer is not linked with the active UAN.

The E-PRAAPTI platform would help users to identify accounts that are dormant for some time, validate their name with Aadhaar and revive PF accounts even if they don’t have UAN details.

Expert Insight: We have many clients, especially those who were working in short-term or contract work before 2014, who had old PF accounts that they had closed out completely. These amounts can be genuinely collected through the E-PRAAPTI platform. The main challenge, as stated by EPFO itself, is the presence of wrong legacy data, wrong names, wrong date of birth or date of membership in old systems, which are often identified during compliance and audit reviewsBefore you start this process, you should compile your old offer letters and pay slips so that you have the documentation on paper to settle any issues.

Common UAN-Related Issues and How to Fix Them

As with any other digital system, faults can develop with the UAN numbers. Common issues are:

  • Forgotten UAN.
  • Unregistered mobile number.
  • Multiple UANs.
  • Incorrect personal details.
  • Activation errors.
  • Aadhaar verification failures.

Most of these problems can be resolved by updating the records, contacting your employer or EPFO assistance services.

Can You Have More Than One UAN Number?

Ideally, no. EPFO wants each employee to have only one UAN in his/her career.

However, sometimes, multiple UANs can be created when employees switch employment but do not communicate their previous UAN with the new company. This is where the concept of UAN for multiple employers might be confusing.

The correct approach is one UAN with multiple PF member IDs linked under it.

Why Does It Matters More Than You Think?

Most people don’t care about their UAN when they join a company. They only remember it when they want to withdraw something from their PF account. This is why it is necessary to take the few minutes to get what a UAN number is. This helps you keep track of your PF savings, makes changing jobs easier to handle, and minimizes misunderstanding when you need to access EPFO services.

At Prashasthi Corporate Services, we have seen that minor gaps in understanding lead to avoidable PF concerns in the future. Knowing your UAN today will save you a lot of back and forth in future.
